As our business continues to grow, we are seeking a Design Operations Coordinator to help bring organization, structure, and exceptional client service to every project.

 

The Design Operations Coordinator serves as the operational backbone of Indreno, helping ensure projects, clients, vendors, schedules, and installations remain organized and moving forward.

Working directly alongside the owner and lead designer, this role is responsible for coordinating projects, managing client communications, supporting installations, and creating the structure needed to allow the creative team to focus on design, vision, and business growth.

The ideal candidate is highly organized, proactive, and possesses exceptional judgment, understanding how to balance client service, operational excellence, and the unique demands of a creative business.

Key Responsibilities

Client Experience & Relationship Management

  • Serve as a professional point of contact for clients throughout the project lifecycle
  • Coordinate consultations, project meetings, installations, and follow-up communications
  • Deliver a high-touch, luxury-level client experience
  • Build trusted relationships while maintaining professionalism, discretion, and confidentiality
  • Anticipate client needs and proactively resolve issues

Project & Design Operations

  • Manage project timelines, schedules, and deliverables
  • Coordinate vendors, contractors, installers, movers, and suppliers
  • Assist with procurement, ordering, and tracking of furnishings, décor, and materials
  • Support staging installations, refresh projects, and residential design implementations
  • Maintain project documentation, records, and operational systems
  • Ensure project details are communicated accurately and executed efficiently

Executive & Operational Support

  • Protect and prioritize the owner's time and focus
  • Manage calendars, requests, and competing priorities
  • Act as a trusted extension of the owner in client and vendor interactions
  • Anticipate needs and proactively solve problems before they arise
  • Support business operations, reporting, and process improvements

Real Estate Partnership Support

  • Help coordinate timelines and communication between clients, agents, vendors, and the Indreno team
  • Support projects that enhance property presentation, market readiness, and overall client experience
