About the Project

We’re hiring a Project Coordinator (BTL Focus) to support a growing volume of below-the-line work across the Australian market. This role sits within an APAC Content Studio model, connecting Sydney-based stakeholders with an offshore creative and adaptation team in the Philippines and the overarching regional vision that is set up from Singapore.

You’ll play an important coordination role across briefs, timelines, stakeholders, and delivery workflows — helping ensure work moves smoothly from intake to final output. This is a great role for someone who understands the pace and detail of BTL work across retail, print, POSM, activations, and adaptation, and enjoys being the connective tissue between teams.

About the Role

Project Coordination & Delivery

  • Coordinate BTL projects from brief intake through to final delivery, ensuring timelines, approvals, and key milestones are tracked closely.
  • Support the day-to-day delivery of retail, POSM, print, activation, shopper, and adaptation workstreams across multiple stakeholders.
  • Help interpret and clarify incoming briefs so offshore creative teams have the right inputs to execute accurately and on time.

Stakeholder & Team Coordination

  • Act as a key coordination point between the Sydney-based local teams, Singapore-based regional teams and the offshore creative/adaptation team in the Philippines.
  • Ensure local market context, feedback, and nuances are clearly communicated to delivery teams.
  • Keep stakeholders informed on progress, flag risks early, and help unblock issues before they affect delivery.

Process, Workflow & Quality

  • Support localisation and adaptation workflows to ensure that outputs align with campaign objectives and brand guidelines.
  • Maintain trackers, timelines, and project documentation so work is organised, visible, and easy to follow.
  • Contribute to improving ways of working across teams, helping strengthen delivery efficiency and consistency over time.

About You

  • You have 2-5 years of experience in project coordination, traffic management, or project management within a creative, production, or marketing environment.
  • Experience in FMCG, luxury, lifestyle or F&B branding and marketing is a plus.
  • You understand the realities of BTL delivery, including retail, POSM, shopper, print, activations, and adaptation workflows.
  • You’re highly organised, detail-oriented, and comfortable juggling multiple projects and deadlines at once in a local and regional context, connecting to the global agendas.
  • You communicate clearly and confidently with both local stakeholders and offshore teams, all of whom have their own agendas and are working towards targets.
  • You’re proactive, reliable, and good at keeping work moving without needing heavy oversight.
  • You’re comfortable working in a fast-paced, matrixed environment where priorities shift, and briefs evolve.
  • You have the right to work in Australia without the provision of a work visa.
