Our well-known beauty client is seeking a Creative Services Project Manager. This role will ensure the seamless execution and timely delivery of a diverse range of creative projects, spanning traditional graphic design, dynamic animation, motion graphics, video production, and cutting-edge AI-assisted design initiatives. 
The ideal candidate possesses a strong ability to manage detailed workflows, prioritize tasks in a fast-paced environment, and act as the critical liaison between our design team, copywriters, marketing stakeholders, external agencies, and other cross-functional partners. You will be instrumental in optimizing our processes, managing resources efficiently, and ensuring every project adheres to scope, budget, and brand standards, while consistently achieving high project completion, on-time delivery, and schedule adherence rates from inception to completion. 

This is a 40hr / week, hybrid assignment that requires going onsite to a NYC office 3 days a week, WFH twice a week. You must have your own computer. 

Creative Services Project Manager Responsibilities: 
1. Project Planning & Scoping: 
– Collaborate with creative leadership, marketing teams, and other stakeholders to clearly define project objectives, scope, deliverables, and success metrics for all creative requests. 
– Develop comprehensive project plans, including detailed timelines, resource allocation, and budget estimates, ensuring alignment with overarching brand strategies and business objectives. 
– Conduct initial project kick-off meetings to clearly communicate requirements, expectations, and timelines to all involved parties. 

2. Workflow & Resource Management (Traffic Control): 
– Serve as the primary traffic controller for all incoming and ongoing creative projects, ensuring optimal allocation of design, animation, motion, video, and AI design resources based on team skills, capacity, and project priorities. 
– Create, manage, and meticulously maintain project schedules, production calendars, and resource plans, ensuring all deadlines are met and potential roadblocks are proactively identified and mitigated. 
– Implement and enforce efficient workflows and processes to streamline the movement of projects through various creative stages, from brief to final delivery. 
– Facilitate daily stand-up and weekly status meetings with the design team and copywriters to track progress, address challenges, and re-prioritize as needed. 

3. Communication & Stakeholder Management: 
– Act as the central point of contact and communication hub between the design team, copywriters, marketing, digital marketing, product teams, and external agencies. 
– Provide regular, clear, and concise project status updates to all stakeholders including the VP of Marketing, managing expectations and communicating any changes in scope, timeline, or resource availability. 
– Facilitate effective communication for feedback and approvals, ensuring constructive dialogue and timely decision-making. 

4. Process Optimization & Innovation: 
– Continuously evaluate and refine creative workflow processes, tools, and best practices to enhance efficiency, productivity, and quality across graphic, animation, motion, video, and AI design outputs. 
– Identify opportunities to leverage project management software and automation tools (including those integrated with AI creative platforms) to streamline tasks, reduce manual effort, and improve project tracking. 
– Stay abreast of industry trends in project management, creative technologies, and AI-driven creative processes to introduce innovative solutions. 

5. Performance Monitoring & Reporting: 
– Track, analyze, and report on key performance indicators (KPIs) such as project completion rates, on-time delivery rates, and schedule adherence rates. 
– Utilize data-driven insights to identify areas for improvement, optimize resource planning, and enhance overall departmental efficiency and effectiveness in creative services delivery. 

6. Quality Assurance & Compliance: 
– Oversee the creative review and approval cycles, ensuring all deliverables meet the highest quality standards, adhere to brand guidelines, and fulfill the original project brief. 
– Manage the collection and organization of all project assets, documentation, and final deliverables for easy retrieval and archiving. 
– Ensure all projects comply with legal, regulatory, and company standards. 

Creative Services Project Manager Requirements: 
– Bachelors degree in Marketing, Communications, Project Management, Design, or a related field. 
– 3-5+ years of proven experience in a Creative Services Project Management, Traffic Management, or similar operational role within a fast-paced creative department, agency, or marketing environment. 
– Demonstrated experience managing projects involving diverse creative disciplines, including graphic design, animation, motion graphics, video production, and digital media. Experience with AI-assisted creative workflows is a significant plus. 
– Exceptional organizational skills, with a meticulous attention to detail and the ability to manage multiple complex projects simultaneously under tight deadlines. 
– Strong proficiency in industry-standard project management and workflow software (e.g., Wrike, Asana, Jira, Smartsheet, Monday.com, Trello); Wrike experience is highly preferred. A willingness to adapt to new technologies is essential. 
– Excellent verbal and written communication, interpersonal, and negotiation skills, with the ability to build strong relationships across all levels of an organization. 
– A solid understanding of the creative development process from concept to delivery, with an appreciation for creative output and brand integrity. 
– Proactive problem-solver with a strong sense of urgency and the ability to navigate ambiguity and adapt quickly to changing priorities. 
– Experience with asset management systems (DAM) is a plus.
