The Procurement & Product Coordinator is responsible for the coordination, organization, and execution of SPF’s Editions, Procurement, and product-related initiatives.

Acting as a key liaison between Design, Project Management, Operations, vendors, fabricators, showrooms, artists, and suppliers, this role ensures that physical project assets are procured, produced, tracked, delivered, and installed in accordance with project requirements, budgets, and schedules.

The Procurement & Product Coordinator plays a critical role in maintaining the high level of organization, quality, service, and operational follow-through expected across SPF’s luxury hospitality and residential projects, while also supporting the continued growth and operational success of the Editions collection.

This role is best suited for a highly organized, proactive, and detail-oriented individual with strong procurement, production, and logistics experience who thrives in a fast-paced creative environment and is comfortable managing multiple complex initiatives independently.

 

Credentials or Qualifications:

  • 5+ years of experience in FF&E Procurement, Procurement Coordination, Product Operations, Hospitality Procurement, or related roles
  • Experience within luxury hospitality, luxury residential, furniture, or interior design environments strongly preferred
  • Demonstrated experience managing procurement workflows, purchase orders, logistics, and vendor relationships independently
  • Experience with custom furniture, fabrication processes, and shop drawing review strongly preferred
  • Experience coordinating deliveries, installations, and quality control activities
  • Strong organizational, communication, and interpersonal skills
  • High proficiency in Microsoft Office Suite, particularly Excel
  • Experience with procurement tracking systems, budgeting tools, and project management software preferred
  • Passionate about design, furniture, craftsmanship, art, and creative culture
  • This role is based in Toronto and requires regular in-studio presence

 

Responsibilities include:

Editions & Product Operations

  • Manage SPF Editions orders, production, logistics, and deliveries
  • Coordinate vendors, fabricators, suppliers, and showrooms
  • Track production schedules, shop drawings, and quality control
  • Support installations and post-installation follow-up
  • Improve operational workflows and vendor relationships

Procurement & FF&E

  • Coordinate procurement of FF&E, artwork, and accessories
  • Manage purchase orders, budgets, schedules, and procurement tracking
  • Coordinate shipping, warehousing, receiving, and installations
  • Liaise with vendors, consultants, and project teams
  • Resolve procurement, logistics, and delivery issue

Artwork & Accessories

  • Coordinate procurement, framing, shipping, and installation
  • Liaise with artists, galleries, consultants, and vendors
  • Track schedules and ensure quality throughout execution
  • Support implementation of approved design selections

Operations & Studio Support

  • Coordinate across Design, Project Management, and Operations
  • Support director initiatives, operational planning, and special projects
  • Contribute to process improvements and operational efficiencies
  • Assist with studio-wide initiatives as required

  • Maintain sensitivity to design intent, craftsmanship, quality, and client experience
  • Foster strong relationships with vendors, suppliers, and project teams
  • Contribute positively to SPF’s collaborative and hospitality-driven culture
