About the Role
We are a fast-growing remote real estate virtual assistant agency and we're looking for a sharp, creative, and driven Personal Assistant who lives and breathes the real estate VA space. This is not a plug-and-play role we want someone who takes ownership, thinks three steps ahead, and brings fresh ideas to the table every single day.
You will work directly with the agency owner, managing operations, supporting client delivery, and helping integrate AI tools into our workflows to scale smarter and faster.
What You'll Do
- Manage day-to-day operations of a remote real estate VA agency
- Support Upwork client acquisition — writing proposals and bidding on relevant jobs (experience preferred)
- Coordinate tasks across multiple real estate clients — MLS updates, listing management, CRM data entry, transaction coordination
- Identify and implement AI tools to automate repetitive tasks and improve agency efficiency
- Draft client communications, follow-up emails, and reports with exceptional English
- Monitor deadlines, manage calendars, and keep the owner organized and on track
- Research real estate market trends, tools, and competitors to keep us ahead
- Create SOPs and document processes to help scale the team
- Assist with social media content, lead generation campaigns, and marketing materials
- Flag bottlenecks proactively and come with solutions — not just problems
Who You Are
- You have hands-on experience with real estate virtual assistant work (US market preferred)
- Your written and spoken English is exceptional — clear, professional, and compelling
- You are a genuine self-starter who does not wait to be told what to do
- You think creatively and are always looking for a smarter way to get things done
- You are comfortable with AI tools (ChatGPT, Claude, automation platforms like Zapier or Make)
- You have experience bidding and winning jobs on Upwork — this is a strong plus
- You are organized, reliable, and thrive in a fast-paced remote environment
- You understand real estate terminology, workflows, and what clients in this niche actually need

- Productivity: Notion, Trello, Asana, Google Workspace, Slack

- Design basics: Canva, basic video editing for reels/social
Requirements
- Minimum 1 year experience as a Real Estate VA or in a real estate support role
- Reliable high-speed internet and a dedicated workspace
- Available to overlap with US business hours (EST or PST preferred)
- Strong portfolio or references from past real estate clients
- Upwork profile in good standing (Top Rated is a bonus)
