Role: Media Operations Lead

Job Profile

We are seeking a high caliber professional to lead our Media Buying operations and oversee our Internal Vendor Helpdesk. You will be responsible not only for the strategic acquisition of media inventory but also for the seamless end to end operational lifecycle – from vendor onboarding and PR/PO creation to final invoicing and payment settlement.

Responsibilities

1. Media Buying & Relationship management

  • Coordinate with internal procurement team(s) and secure high value media inventory across Print, OOH, Digital.
  • Leverage market benchmarks to ensure the company receives "Best In Class" rates from media houses and agencies.
  • Manage relationships with key media providers to negotiate availability at best rates.

2. Vendor Helpdesk & Lifecycle Management

  • Team Leadership: Lead an internal helpdesk team responsible for the administrative lifecycle of marketing vendors.
  • PR/PO Management: Supervise the accurate and timely creation of Purchase Requisitions (PR) and Purchase Orders (PO) within the ERP system (SAP).
  • Invoicing & Payments: Ensure the helpdesk facilitates smooth invoice submission, verification against deliverables (Proof of Execution), and timely payment processing.
  • Problem Resolution: Act as the final point of escalation for vendors regarding payment delays or reconciliation issues.

3. Financial Governance & Compliance

  • Maintain a rigorous audit trail for all media spends to meet internal regulatory requirements.
  • Work closely with the Finance and Audit departments to ensure all media buying activities adhere to corporate SOPs.
  • Manage monthly budget reconciliations and "Commitment vs. Actual" spend reports.

4. Process Optimization

  • Standardize the onboarding process for new media vendors and creative agencies.
  • Implement digital workflows to reduce lead times in the PR to Payment cycle.
  • Evaluate vendor performance through periodic scorecards and service level agreement (SLA) monitoring.

Required Qualifications & Skills

  • Education: MBA (Finance / Marketing / Operations preferred) or a professional degree with a strong grasp of commercial operations.
  • Experience: 12+ years in Media Planning/Buying, with at least 3-4 years managing Marketing Operations workflows.
  • Systems Fluency: Hands on experience with ERP systems (e.g., SAP) and a strong command over MS Excel for financial tracking.
  • Stakeholder Management: Ability to manage internal Finance teams, external Media Agencies, internal marketing stakeholders and high level Media House representatives simultaneously.
  • Integrity: A track record of maintaining high ethical standards in large scale commercial dealings.
