Marketing Coordinator / Marketing Executive Assistant

About the Role
We are seeking a highly organized, detail-oriented, and creative Marketing Coordinator to support the planning and execution of marketing initiatives, client events, and internal programs. This is a dynamic, hands-on role ideal for someone who thrives in a fast-paced, professional services environment and enjoys managing multiple projects from concept through completion.
This position also incorporates Executive Assistant responsibilities, providing direct support to senior marketing leadership while contributing to broader departmental initiatives.
Key Responsibilities
Marketing Coordination
Plan and execute client-facing events, webinars, conferences, and internal marketing initiatives
Coordinate sponsorship activations and ensure deliverables are met on time
Manage post-event follow-up, including communications, reporting, and content distribution
Assist with marketing campaigns across email, digital, and internal channels
Create and distribute invitations, announcements, and follow-up materials
Maintain event and marketing calendars with accurate, up-to-date information
Edit and update video content for marketing programs and events
Support presentation development for speaking engagements
Track project deadlines, approvals, and deliverables
Maintain organized records of marketing materials, templates, and event outcomes
Executive & Administrative Support
Manage scheduling and logistics for internal and external meetings
Coordinate promotional items, vendor relationships, and inventory
Oversee shipping, print jobs, and office coordination as needed
Track and reconcile departmental expenses and credit card activity
Assist with accounts payable, expense reports, and invoice processing
Collaborate with accounting to ensure timely financial operations
Support onboarding processes, including vendor coordination
Assist in executing social media strategy and content planning
Design marketing and social media assets using Canva
Manage and publish content across social platforms
Provide support on large-scale marketing projects and initiatives
Qualifications
3–5 years of marketing or related experience
Experience in professional services preferred (legal industry not required)
Strong organizational and multitasking skills
Excellent written and verbal communication abilities
Proficiency in Microsoft Office (especially PowerPoint) and Canva
Experience with event coordination and marketing campaigns
Ability to manage deadlines in a fast-paced environment
Familiarity with social media platforms and content management
