About the Role:

Nili Lotan is looking for a highly organized, proactive, and execution-focused professional to support the founder and serve as an extension of the founder’s office.

This role will help manage priorities, coordinate follow-up, track decisions and approvals, and ensure visibility and accountability across key business initiatives.

The founder office manager will work very closely with Nili Lotan founder, helping drive execution, maintain alignment across teams, and ensure that important projects, initiatives, and action items move forward effectively.

The ideal candidate is highly organized, detail-oriented, responsive, and thrives in a fastpace environment where follow-through, accountability, and execution are essential.

Responsibilities:

Founder Office Management

• Manage Founder action lists and follow-ups, ensuring priorities remain visible and progress is tracked through completion.

• Prepare meetings and ensure readiness by coordinating information, materials, approvals, and outstanding action items.

• Track key decisions, approvals, commitments, and next steps across multiple initiatives and departments.

• Centralize information across departments and help maintain alignment on priorities, deadlines, and deliverables.

• Protect the Founder’s time and attention by helping filter priorities and manage escalation flow.

• Ensure conversations, decisions, and approvals are translated into clear action items, ownership, follow-through, and completion.

• Drive daily accountability with teams and leadership to help ensure commitments are executed, priorities move forward, and key initiatives are completed.

Project Management & Operations

• Manage operational execution for creative, brand, retail, and business initiatives.

• Manage timelines for campaigns, collaborations, launches, special projects, and other key business initiatives.

• Track deliverables, approvals, and project milestones to help ensure projects remain on schedule and aligned with objectives.

• Coordinate production calendars and monitor progress across multiple concurrent projects.

• Follow up with internal teams, external partners, vendors, consultants, architects, contractors, and other project stakeholders to support timely execution and completion of deliverables.

• Manage logistics, execution details, project workflows, and status tracking across a variety of initiatives.

• Support store openings, renovations, and retail projects by tracking timelines, coordinating follow-up, and monitoring project progress.

• Follow up with architects, vendors, contractors, and other project partners to help ensure deliverables and deadlines are met.

• Track furniture purchases, deliveries, approvals, and other project-related milestones.

• Identify risks, bottlenecks, delays, and outstanding decisions, and escalate issues when necessary.

• Support project execution and coordination while partnering with creative, retail, and operational teams. This role does not have responsibility for creative vision, brand direction, or interior design decisions.

Weekly Reporting & Operational Systems

• Establish and maintain a clear operational reporting structure.

• Prepare and maintain weekly reporting that provides visibility into company priorities, pending approvals, critical deadlines, risks, bottlenecks, team accountability, store development status, hiring initiatives, digital and e-commerce projects, marketing initiatives, and property and operational projects.

• Maintain operational systems and reporting tools that improve visibility, organization, and accountability across the business.

Qualifications

• 7+ years of experience supporting a Founder, CEO, Creative Director, Producer, or senior executive in fashion, luxury, creative, retail, hospitality, or entrepreneurial environments.

• Strong operational and project management capabilities.

• Exceptional organizational and follow-through skills.

• Ability to manage multiple fast-moving priorities simultaneously.

• Highly proactive and solution-oriented.

• Strong emotional intelligence, sound judgment, and discretion.

• Excellent communication and relationship-management skills, with the ability to work effectively across teams and stakeholders.

• Extremely detail-oriented and execution-focused.
