About The Role
The Executive Assistant at ZOLL will play a vital role in supporting the Vice President of R&D and the R&D leadership team. This position involves managing a broad spectrum of administrative and executive support tasks, requiring a proactive and resourceful approach. The successful candidate will work independently with minimal supervision, demonstrating excellent organizational skills, discretion, and professionalism. The role demands effective communication, the ability to handle confidential information, and flexibility to work extended hours when necessary. The Executive Assistant will contribute to enhancing the efficiency of the executive team by managing schedules, coordinating meetings, preparing reports, and supporting special projects. Qualifications
- Bachelor's Degree or equivalent work experience required
- 10+ years of experience supporting at the executive level highly preferred
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
- Experience with ERP systems (preferred)
- Familiarity with modern conferencing and communication technology
- Strong organizational and time management skills
- Exceptional written and verbal communication skills
- Ability to handle confidential information with discretion
- Proactive problem-solving and creative thinking abilities
- Experience coordinating complex meetings and travel arrangements
- Ability to prioritize multiple tasks and adapt to changing priorities
Responsibilities
- Partner with the Vice President of R&D and leadership team to optimize their time and productivity
- Manage and prioritize calendars, schedule meetings, and coordinate logistics for internal and external events
- Prepare and distribute meeting agendas, materials, and follow-up documentation
- Coordinate travel arrangements, including transportation, accommodations, and itineraries
- Assist in annual business and budget planning processes
- Support departmental reporting, including monthly and quarterly reports and financial forecasting analysis
- Handle general administrative duties such as database entry, expense reports, purchase requisitions, and office supplies procurement
- Communicate effectively with internal teams and external partners, maintaining professionalism and confidentiality
- Participate in special projects and ad hoc assignments as required
- Proactively identify and address issues that may impact executive schedules or departmental operations
