We are looking for a skilled Executive Assistant to provide high-level support to senior executives at a global organization. This Contract to permanent position offers the opportunity to grow within a dynamic and fast-paced environment. Based in New York, New York, the role requires adaptability, professionalism, and the ability to manage complex schedules and projects with precision.
Responsibilities:
• Proactively manage executive calendars, including scheduling meetings and coordinating domestic and international travel arrangements.
• Prepare and submit expense reports on behalf of executives, ensuring accuracy and timeliness.
• Anticipate needs, address challenges, and resolve issues efficiently while prioritizing tasks.
• Oversee meeting logistics, including room bookings, catering, agenda preparation, minute-taking, and welcoming guests.
• Assist in the creation of presentation materials and reports for meetings, including Board-level discussions.
• Attend Board meetings and handle the preparation of Board books, ensuring deadlines are met and materials are organized.
• Execute ad-hoc projects as assigned, demonstrating flexibility and resourcefulness.
• Adhere to organizational controls and compliance requirements as applicable.
• Collaborate with the current Executive Assistant to support onboarding and training initiatives.
• Provide executive-level support to multiple directors, adapting to their specific needs and workflows.
• Exceptional attention to detail and organizational skills, paired with a proactive and solution-oriented mindset.
• Strong technical aptitude with the ability to quickly learn and master new systems.
• Positive and collaborative team player, capable of working effectively with colleagues at various levels.
• Cultural sensitivity and comfort in engaging with global stakeholders.
• 5–8 years of experience in supporting senior executives in demanding environments.
• Bachelor’s degree preferred but not required.
• Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Demonstrated experience in taking minutes during Board and executive meetings.
