We are seeking an Event Specialist who will play a key part in the planning and execution of multiple Chamber of Commerce and corporate events, with a significant focus in supporting the delivery of the World Chambers Congress, a large-scale international conference scheduled for September 2027.

About the role

The ideal candidate brings strong logistical expertise in international event planning, thrives in a fast-paced environment, and balances operational excellence with creative thinking.

Event Planning & Execution

  • Provide event support for established events related to logistics, monitoring plans and critical paths, budgets and partnerships; on-site support and trouble shooting on behalf of Events team;
  • Lead registration for all signature events;
  • Act as support to “Project Leads” (i.e., Senior Manager of Events and Senior Events Specialist) on their key event deliverables including venue and catering coordination, registration systems, marketing or printed material or collateral items and other on-site support as required;
  • Ensure production, logistics and program materials (printed programs, event supplies, signage, etc.) for various events are ordered and delivered in a timely manner;
  • For assigned specialty events (for example policy round tables), develop and manage project critical paths and key milestones, from RFP processes to implementation;
  • Support the project leads in the planning and execution of a multi-day international conference in September 2027;
  • Oversee event logistics such as venues, catering, audiovisual needs, transportation, accommodations, and on-site operations.

International Conference Support

  • Manage large-scale event registration systems, including data accuracy, reporting, and attendee communications;
  • Assist with international attendee requirements, including knowledge of Canadian visa processes and invitation documentation;
  • Coordinate exhibitor and sponsor logistics, including booth requirements, sponsorship deliverables, and on-site support.

Sponsorship & Exhibitor Relations

  • Support sponsor and exhibitor onboarding, fulfillment, and relationship management;
  • Coordinate sponsorship assets, signage, and event-day execution to ensure contractual obligations are met.

Collaboration & Creativity

  • Work collaboratively with internal teams, partners, vendors, and stakeholders;
  • Contribute creative ideas to enhance attendee experience, engagement, and event branding.

Post-Event Reporting

  • Support post-event evaluations, surveys, reporting, and debriefs;
  • Track key metrics and provide insights for continuous improvement.

Qualifications & Experience

  • Minimum 5 years of professional event planning experience, preferably within business, association, or international event environments;
  • Strong understanding of event logistics, registration platforms (experience with Event Mobi is an asset), and attendee management systems;
  • Experience working with sponsors and exhibitors, including fulfillment and relationship management;
  • Familiarity with Canadian visa requirements for international event attendees is a strong asset;
  • Highly organized with excellent time management and attention to detail;
  • Creative mindset with strong problem-solving skills;
  • Comfortable working in a hybrid work environment and adapting to changing priorities;
