Duties and Responsibilities
• Event Coordination: Collaborate with the events and management teams to plan, organize, and execute a wide range of events, including corporate meetings, weddings, conferences, and public events, ensuring seamless delivery from concept through completion.
• Client Communication: Serve as a primary point of contact for clients, vendors, and internal stakeholders, delivering exceptional customer service while promptly addressing inquiries, concerns, and special requests.
• Venue Management: Oversee event space logistics, including setup and breakdown, and coordinate with venue management to ensure all spaces meet client specifications and comply with building standards and protocols.
• Budget Management: Develop and manage event budgets, including cost estimates, expense tracking, and vendor negotiations, to ensure events are delivered within approved financial parameters.
• Team Leadership: Manage event staff and volunteers by delegating responsibilities, providing direction, and fostering a collaborative and professional work environment to support successful event execution.
• Vendor Coordination: Liaise with and manage relationships with external vendors, including caterers, florists, AV technicians, and security personnel, to fulfill event requirements and enhance the overall guest experience.
• Event Marketing: Partner with the marketing team to promote events through social media, email campaigns, and promotional materials to drive attendance and maximize engagement.
• Risk Management: Identify potential risks and develop contingency plans to mitigate unforeseen challenges during events, ensuring the safety and security of guests, staff, and property at all times.
• Post-Event Evaluation: Conduct post-event evaluations to assess the success of each event, gather feedback from clients and attendees, and identify areas for improvement to enhance future event experiences.
• External Networking: Serve as a representative of the venue and continuously seek opportunities to innovate and elevate the quality of events hosted at POST Houston.
Education and Work Requirements
- Bachelor's degree in communications, event management, hospitality management or a related field. Candidates without a bachelor’s degree with qualifying experience in hospitality or events management are encouraged to apply.
- Minimum of 2 years of experience in events management or hospitality.
- Strong written and verbal communication skills with a proven track record of communicating with a variety of clients.
- The ability to independently lift and carry heavy objects, up to 50 pounds, on a frequent basis is required.
- Proficiency in social media platforms and active participation in social media networks.
- Knowledge of Event Temple, Social Tables, and Eventbrite.
- Proficiency in Adobe Creative Cloud programs (especially Illustrator, Photoshop, and InDesign) desired.
Schedule: This is a full-time position that will require flexible availability, including multiple early mornings, late nights, and weekends, based on the events schedule.
