The Role
We are seeking a Special Event Supervisor to be the boots-on-the-ground lead at The Oviatt. This role is primarily focused on weddings, which comprise over 90% of our calendar. You will play a vital role in ensuring that every couple’s vision is executed flawlessly.
This is a high-interactivity role requiring you to manage four pillars simultaneously: clients, employees, vendors, and guests. You will be responsible for ensuring that Banquet Event Orders (BEOs) are carried out with the superior level of hospitality our brand is known for.
What We Are Looking For
Experience: Prior experience in events is required; direct wedding experience is highly preferred. You should be comfortable navigating the unique flow and high stakes of a wedding day.
Reliability: This role is the heartbeat of our events. We need someone extremely dependable who takes ownership of the space and the schedule.

Role & Responsibilities
· Work with the Event Manager with day of operations by strictly adhering to each detail on the BEO while following the event schedule.
· Manage vendors by answering questions and ensuring vendors are following rules during load-out/in.
· Act as one of the primary contacts for clients, employees, security, and guests for all questions, as well as be a creative problem solver for the unexpected.
· Supervise bar, cleaning, and serving staff on site, making certain they are following venue standards and completing checklists with 100% accuracy.
· Set up furniture around the venue according to the floor plan, prepare the bar, and perform other setup tasks that are required.
· When on-site, assist in its success by helping with bar backing, bussing and washing or any tasks that arise to ensure positive guest and client experiences.
· Provide superior guest and client hospitality by assisting with any questions, complaints, or special requests with the utmost care.
· Responsible for quality controlling the venue before, during and after each event looking for cleanliness, damages, or any other safety concerns.
· Follow alcohol awareness procedures for preventing intoxication of guests and handling an intoxicated guest.
· Work in tandem with preferred and non-preferred caterers, ensuring they are abiding by rules and regulations.
· Lead a pre-shift briefing for all staff members and communicate clearly the expectations for the day.
Requirements:
• Frequently moves chairs or tables weighing up to 40 pounds.
• Position requires extended periods of prolonged standing and working on your feet.
• Strong communication and interpersonal skills.
• Detail-oriented.
• Flexible schedule to work weekends, late hours, and shifts ranging from 6 – 12 hours a day and as late as 3 AM.
