Location: Greater London
The Events Operations Manager is responsible for the organisation and operational aspects of running a series of global B2B events across a range of industries. The forums usually consist of a conference with sponsors and can range in size up to 1,000 attendees. The Events Operations Manager will be required to work proactively, take full responsibility for the delivery of the events, maintain strict control of the event budget, and offer solutions to any problems that arise.
Some international travel can be expected.
Key Job Responsibilities
- Delegate communications and customer service
- Cost reconciliation and budget management
- Liaison with cross‑functional teams: production, marketing and sponsorship/sales
Speaker Management
- Contact all speakers following a hand‑over brief from the Event Producer
- Book accommodation and arrange travel (where necessary and agreed with producer)
- Compile and send out speaker logistical information
- Collect biographies for marketing collateral and chairperson
- Manage speaker expenses and costs (where necessary and agreed with producer)
- Coordinate and collect speaker presentations pre‑conference
- Maintain regular contact with speakers to provide updates and information as required
- Inform producer and chairperson of any changes to programme including speaker drop‑outs/replacements
Venue
- Liaise with venue regarding catering numbers
Suppliers
- Book, brief and manage event suppliers such as audio‑visual, graphics, catering, stand builders, etc.
- Organise signage and all event documentation
- Arrange creation, printing and delivery of any conference documentation
- Ensure fulfilment of all supplier requirements on site
Liaison with event teams
- Ensure attendee lists, delegate and speaker badges are complete and accurate
- Monitor and liaise with conference producers and sales managers regarding guests, speakers, sponsors and other attendees
- Ensure all equipment, signage and documentation is dispatched safely and securely to the venue and back
At the Event
- Manage and oversee all health and safety requirements and make contingency plans
- Conduct quality control checks on all aspects including venue, room set up, A/V and catering
- Liaise with suppliers (e.g., AV, venue, caterers, printers)
- Note delegate attendance and create on‑site attendance list
- Store delegate list and conference documentation securely
Post Event
- Manage and collate event evaluations and appropriate distribution
- Make payments where necessary and manage invoices
- Upload supplementary documentation on the website
Financial Management
- Plan, monitor and reconcile all financials relating to the event
- Advise on cost savings during budget set‑up and sign‑off
- Look at overall cost spend in the budget and advise on cost savings and alternative approaches
- Take payment and debt collection on the day of the conference
- Close event accounts accurately and timely

Minimum Qualifications & Requirements
- Track record of delivering events under budget and in profit
- Effective verbal and written communication skills
- High level of IT competency – strong computer skills including Excel, Word, Power Point
- Excellent written and oral skills; report writing skills essential
- Capable of handling confidential information efficiently and sensitively
