Event Operations Lead

About the Role
We are looking for a detail-oriented and proactive Event Operations Lead with 8–12 years of experience in an event agency environment. This role will be responsible for end-to-end event operations, including venue sourcing, vendor management, and swag procurement, ensuring seamless execution of high-quality events.
Key Responsibilities
Venue Sourcing & Management
- Research, identify, and evaluate venues based on event requirements, audience profile, and budget
- Negotiate contracts, pricing, and terms with venues
- Manage end-to-end venue booking process including site visits, coordination, and finalization
- Ensure all venue logistics are aligned with event needs
Vendor & Swag Management
- Research, source, and curate innovative and high-quality swag options aligned with brand guidelines
- Identify and onboard reliable vendors for production and delivery
- Negotiate pricing and manage vendor relationships to ensure cost efficiency
- Oversee timelines, quality checks, and delivery of all event materials and giveaways
Event Operations Execution
- Coordinate with internal teams and external stakeholders for smooth event execution
- Manage event logistics including setup, on-ground coordination, and troubleshooting
- Ensure timelines, budgets, and quality standards are met
Research & Innovation
- Stay updated with latest trends in venues, event formats, and gifting/swags
- Bring creative ideas to enhance attendee experience
- Stakeholder Management
- Collaborate with clients, internal teams, and vendors
- Communicate effectively to ensure alignment across all stakeholders
Required Skills & Qualifications
- 5–7 years of experience in event operations, preferably within an event or experiential agency
- Strong experience in venue sourcing, negotiation, and booking
- Proven experience in swag/gifting research and procurement
- Excellent communication and interpersonal skills
- Strong negotiation and vendor management skills
- Ability to manage multiple projects and work under tight deadlines
- High attention to detail and problem-solving mindset
Preferred Qualifications
- Experience managing corporate events, conferences, or large-scale productions
- Strong network of venues and vendors
Ability to travel based on event requirements
