Event Coordinator (Part Time, 8 Weeks, Hybrid in Washington DC)

Duration: 8 week assignment
Hours per week: 16 hours per week (2 days p/w)
Hybrid: Yes – 1 required onsite day weekly in Washington DC
Pay Range: $30-$35 per hour
TLDR: Supports logistics and execution for multiple small to mid scale events

Job Description:
Our client is a nonprofit organization focused on leadership development, public policy, and convening influential thinkers to address major global and societal challenges. They are seeking a part time Event Coordinator to support upcoming programs. This role manages a broad range of event logistics including vendor coordination, registration workflows, and onsite execution. Ideal candidates are detail oriented, proactive, and experienced in hands on event operations.

Responsibilities:

  • Build and maintain planning timelines, checklists, and tracking tools
  • Coordinate venue needs and external partners (catering, AV, photography, rentals)
  • Manage attendee lists, registration updates, and pre event communications
  • Support seating plans, dietary needs, and participant logistics
  • Create and update run of show documents and assist with production coordination
  • Oversee printed materials, signage, and event collateral
  • Lead vendor load in and support onsite setup and execution
  • Track invoices and assist with post event financial wrap up

Qualifications:

  • 2 to 4+ years in event coordination or event production
  • Experience working with vendors, catering, and onsite logistics
  • Strong organizational, communication, and project management skills
  • High attention to detail and reliable follow through
  • Proficiency with Google Workspace; Cvent experience is a plus
  • Ability to work one day per week onsite in Washington DC
