About the Opportunity
A fast-paced agency focused on B2B clients is seeking a contract Event Coordinator or Marketing Project Manager to support a series of partner-facing events for a large technology company. This role will help manage approximately 11–12 events taking place across May and June.
This is a great fit for someone who is highly organized, detail-oriented, and comfortable managing multiple moving pieces at once across events, creative production, digital deliverables, timelines, and vendor coordination. The ideal candidate has prior experience supporting events within an agency, marketing, or client-services environment and knows how to keep projects moving while communicating clearly with internal teams, vendors, and client stakeholders.
Candidates who are open to occasional travel for onsite event support are especially attractive, though onsite support may not be required for every event.
Key Responsibilities
- Coordinate logistics for a series of partner events, including room setup, food and beverage, AV, and onsite needs
- Build and manage detailed timelines for each event, ensuring all deliverables stay on track and deadlines are met
- Partner with internal creative and digital teams to manage development of event-related assets, including:
- Registration forms and landing pages
- Email invitations, confirmations, and reminder emails
- Event signage and pop-up banners
- Slide deck and presentation cleanup
- Other supporting event collateral as needed
- Route creative materials through internal and client review processes
- Track revisions, manage feedback rounds, and ensure final approvals are secured on time
- Coordinate with outside vendors including print partners, swag vendors, caterers, and other event suppliers
- Maintain clear communication across internal teams, client contacts, and external partners
- Help identify and solve project issues before they affect timelines or execution
- Support event execution needs leading up to each event, and potentially assist with onsite coordination if needed
Qualifications
- 3+ years of relevant experience in event coordination or marketing project management with event experience
- Experience supporting marketing events, partner events, field events, or B2B events
- Strong project management skills with the ability to manage multiple timelines and priorities simultaneously
- Comfortable coordinating creative, digital, and production deliverables across multiple internal teams
- Experience managing review cycles, revisions, and approvals with clients or stakeholders
- Familiarity with event-related logistics including venue setup, catering, AV, signage, and vendor coordination
- Strong written and verbal communication skills
- Highly detail-oriented, organized, and proactive
- Able to work independently while also collaborating closely with internal teams
- Agency experience is strongly preferred
- Willingness to travel for onsite event support is a plus
