The Opportunity

We're hiring a Creative Coordinator to bring order and momentum to the creative engine of a fast-growing direct-to-consumer brand that runs a high-volume content and production operation — owning the day-to-day project management that keeps creative work moving from brief to launch. In this role, you'll maintain the creative asset library, build and continuously iterate the team's ClickUp workspace, coordinate photo and video shoot logistics end to end, and keep timelines, deadlines, and stakeholders aligned across product launches and campaigns; you'll also handle the administrative and financial operations — invoice routing, contract tracking, and sample fulfillment — that keep production on schedule. It's a project-management role at heart, lived out in the creative space, ideal for someone who thrives on structure, follow-through, and proactive communication.

What Your Day-to-Day Will Look Like

  • Asset Library Management: Maintain, tag, and organize the creative asset library, receiving creative acquired from agencies and partners and keeping everything findable and up to date.
  • Platform Administration: Handle routine admin across the team's creative and community platforms — status updates, basic hygiene, and flagging issues before they grow.
  • ClickUp Workspace Build & Upkeep: Stand up and iterate the creative team's ClickUp workspace — project structures, templates, and workflows that keep tasks organized and production on schedule.
  • Project & Timeline Tracking: Track assets from briefing through launch and keep product-launch and campaign timelines visible, ensuring the right people have what they need on time.
  • Editor & Designer Coordination: Coordinate assignments and deadlines for editors and designers, keeping tickets up to date and surfacing blockers early.
  • Shoot Logistics: Coordinate end-to-end scheduling for photo and video shoots — working with models, agencies, and production partners, and preparing materials and call sheets.
  • Procurement & Fulfillment: Source props, costumes, and shoot materials within budget, and manage product sample fulfillment and shipping with accurate tracking.
  • Admin & Financial Operations: Route internal invoices, maintain the legal contract tracker, capture meeting notes and action items, and flag recurring workflow friction with simple fixes.

What You Bring

  • Project Coordination Experience: 2–4 years in creative project management, marketing coordination, project coordination, or similar operational support roles.
  • Creative-Team Fluency: Experience working with creative teams, agencies, marketing departments, or design-focused environments.
  • Tooling: Hands-on familiarity with ClickUp and other project management tools to coordinate workflows and track deliverables.
  • Organization & Detail: Strong organizational skills, attention to detail, and the ability to manage multiple projects and deadlines simultaneously.
  • Communication & Follow-Through: Excellent written and verbal English, strong proactive communication habits, and reliable follow-through across cross-functional teams.
  • Remote Readiness: Comfortable working remotely and across US time zones, following established processes while adapting to changing priorities.

  • You've worked in an agency or creative services environment
  • You've supported DTC, eCommerce, consumer, or digital-first brands
  • You're familiar with digital marketing and social media workflows
  • You have a basic understanding of creative production processes (design, video, content)
  • You've supported remote creative teams
