An Event Coordinator is a key asset in any organization that manages corporate events. This role acts as the bridge between clients, suppliers, internal teams, and event execution, ensuring every element runs smoothly and with high quality.

The Event Coordinator ensures that logistics, participants, venues, technology, suppliers, timelines, permits, and catering are integrated effectively so events are delivered successfully and according to plan.

This role focuses on delivering exceptional client experiences, minimizing operational risks, optimizing resources, and maintaining clear communication among all stakeholders.

How You'll Contribute

• Plan and coordinate events from start to finish, ensuring all details align with the client’s objectives and budget.

• Manage event logistics including venue selection, catering, transportation, accommodations, and vendor coordination.

• Collaborate with creative and design teams to ensure the event’s aesthetics and experience meet BI WORLDWIDE’s quality standards.

• Develop and maintain strong relationships with suppliers, partners, and industry contacts across Latin America to ensure excellence in event execution.

• Support business growth by leveraging industry relationships to attract new clients and expand the event portfolio.

• Supervise and lead operational teams during event execution, ensuring effective coordination and high levels of client satisfaction.

• Monitor event timelines and proactively resolve issues to ensure successful delivery.

• Stay up to date with industry trends, innovations, and best practices to continuously enhance event experiences.

What Makes You a Great Fit

• Minimum of 3 years of experience planning, coordinating, and executing events for large audiences across Latin America.

• Bachelor’s degree in Business, Marketing, Communications, or a related field.

• Strong network of contacts and partners within the travel, events, entertainment, and technology industries.

• Proven experience negotiating with suppliers and managing event budgets effectively.

• Ability to work under pressure and manage multiple deadlines without compromising quality.

• Excellent written and verbal communication skills in both Spanish and English.

• Strong leadership skills with the ability to guide and motivate teams during event execution.

• Experience managing events in Mexico and internationally.

• Creativity, flexibility, and strong problem-solving abilities.

• Strong customer service orientation and attention to detail.

• Valid visa and passport with availability to travel.

• Familiarity with IATA airport codes and airline operations.

• Experience negotiating with hotels and local suppliers such as DMCs, restaurants, and tour operators.
