About the Role

The Associate Producer, Project Operations supports a group of Producers throughout the production lifecycle by maintaining accurate project information, coordinating documentation, assisting with quality control, and ensuring internal workflows remain organized and up to date.

This role serves as the operational backbone of the Producer team, helping maintain project visibility, identifying missing or inaccurate information, and supporting the systems and processes that enable successful project execution. Associate Producers work closely with Producers across multiple projects and gain hands-on exposure to customer management, creative development, production planning, and production execution while developing the skills required for future Producer responsibilities.

This position is ideal for someone with 2–3 years of experience in a production, agency, marketing, or creative services environment who is looking to take the next step in their career and grow into a Producer role.

Responsibilities

Project Coordination & Administration

  • Support a team of Producers across multiple active projects.
  • Maintain project information within internal systems and ensure records remain accurate and current.
  • Assist with project setup, documentation, scheduling, and internal coordination.
  • Create and maintain project documentation including creative decks, scripts, call sheets, timelines, meeting notes, and project trackers.
  • Coordinate internal meetings and customer calls, including scheduling, agenda preparation, and documentation.
  • Track project milestones, approvals, and deliverables to help ensure projects remain on schedule.

Workflow Management

  • Monitor project workflows and identify missing information, incomplete tasks, or process gaps.
  • Ensure project data, approvals, assets, and deliverables are properly documented and organized.
  • Maintain project organization across Monday.com, Google Drive, and other production systems.
  • Assist Producers in managing project status updates and internal communication.
  • Proactively surface risks, blockers, or missing information that could impact project execution.

Quality Control Support

  • Review project documentation for completeness, accuracy, and consistency.
  • Assist with internal quality control reviews of creative materials and production deliverables.
  • Verify project information before major milestones, handoffs, and customer-facing communications.
  • Support Producers in ensuring deliverables align with approved scope, project requirements, and internal standards.

Production Support

  • Assist with production planning and logistical coordination as needed.
  • Support on-set production activities when required.
  • Coordinate with Creative, Production, Customer Success, and Post-Production teams to ensure smooth project execution.
  • Participate in project meetings and gain exposure to customer communication, production strategy, and project leadership.

Team Support & Continuous Improvement

  • Help maintain operational consistency across projects and workflows.
  • Identify opportunities to improve efficiency, organization, and documentation practices.
  • Support adoption of new tools, technologies, and AI-powered workflows.
  • Contribute to a collaborative, solutions-oriented team environment.

Qualifications

Required

  • 2–3 years of professional experience in a production, agency, marketing, creative services, or project coordination environment.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple projects and priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Experience working within project management systems and collaborative software platforms.
  • Ability to work effectively in a fast-paced environment.
  • Positive attitude, strong work ethic, and willingness to support team success.
  • Knowledge of or experience using AI tools to improve productivity, organization, research, content development, or workflow efficiency.



Preferred

  • Experience supporting video production, creative, marketing, or advertising projects.
  • Experience using Monday.com, Google Drive, and other project management or collaboration tools.
  • Familiarity with creative development and production workflows.
  • On-set production experience, including coordinating logistics, supporting crews, or assisting with shoot execution.
  • Experience using AI-powered tools within creative, production, or operational workflows.

Comp Range: $25-$35/hour based on experience
